Come join Lotus Bloom as our new Executive Assistant at our site in East Oakland!  We are looking for someone who is passionate about using their vast administrative skills to support an organization dedicated to bringing early childhood education to traditionally underserved communities throughout Oakland through a variety of daily activities geared at promoting healthy outcomes for both the child and their family to join the Lotus Bloom team.

What You'll Do

The Executive Assistant is responsible for supporting the Executive Director, Board of Directors and the Lotus Bloom Leadership Team through attendance, agenda development, scheduling and coordination and follow-up, creating engaging slide decks and learning materials, and managing logistics of projects.  The Executive Assistant maintains a strong presence on behalf of the ED, proactively multitasks and prioritizes work.  Reporting to the Executive Director, the position is responsible for a broad range of administrative support including producing stellar business communications correspondence and reports to a multitude of external stakeholders including board members, donors, and community partners.

What Experience You Will Bring

  • At least 3+ years’ experience providing administrative support to a C-level executive in an organization with 20 or more employees.
  • At least 1 year experience working in a social service or education non-profit organization.
  • Demonstrated experience supporting a board of directors’ team.
  • Ability to work independently, develop and implement strategies, and set and carry out objectives with minimal supervision.
  • Superior ability to multi-task, prioritize and maintain composure in a fast-paced environment with competing priorities.
  • Strong analytical and problem-solving skills.
  • Knowledge of trends, best practices, and new technologies in project management.
  • Proven ability to provide honest and constructive feedback to their C-level supervisor.
  • Excellent interpersonal and communication skills.
  • Advanced proficiency at managing multiple calendars for others across multiple time zones using calendar software such as Google Calendars or Microsoft Outlook.
  • Intermediate to advanced proficiency with Microsoft Office or Google Workspace or similar cloud-based office applications for small to medium-sized businesses including word processing and spreadsheets.
  • Advanced proficiency with Microsoft PowerPoint, Prezi, or other presentation software.
  • Advanced proficiency with Zoom, Microsoft Teams, Google Meet, or other cloud-based video conferencing applications.
  • Intermediate proficiency project management software such as Asana, Microsoft Project.
  • Familiarity with Salesforce or other cloud-based benefits customer relationship management applications.
  • Customer service orientation to internal and external stake.
  • Experience applying a diversity, equity, and inclusion lens to daily work.
  • Ability to manage deadlines / handle confidential information in a discreet and professional manner.

Preferred Qualifications

  • Verbal and written skills in Spanish, Cantonese, or Arabic languages.
  • Educational attainment in business administration, organizational development, project management, nonprofit management, or other related field.
  • Project management education and/or certification such as PMP or professional certificate.

Physical Requirements

This position performs its duties in an office environment.  You must be able to perform the following duties with or without accommodation:

  • Stand, sit, kneel, walk, bend, and perform repetitive motions for the duration of shift.
  • Able to operate standard office equipment including computers, keyboard, phones, and printers.
  • Traverse safely throughout the entirety of the site.
  • Safely lift, move, and transport items weighing up to 30 lbs.
  • Communicate in a clear speaking voice in person, over the phone and during video conferences.
  • Ability to complete health screening including Tb clearance.
  • Ability to complete DOJ LiveScan screening.
  • Proof of COVID-19 vaccination.

Compensation & Benefits

This is a regular full-time, non-exempt position scheduled to work 40 hours per week, Mondays through Fridays, 8:30 am – 5:00 pm. The starting rate of pay is $30.93 per hour ($64,343 annualized). Lotus Bloom offers the following benefits for this position including:

  • Choice of Kaiser HMO or Aetna POS medical plan and Delta Dental PPO dental plan with 100% coverage for employees and 50% for dependents. VSP Vision is optional add-on coverage.
  • Paid leaves of absence including 13 paid holidays, 80 hours of vacation accrual and 80 paid sick leave accrual in your 1st year.

Lotus Bloom is a family resource center where children aged 0-5 and their parents/caregivers learn, play, gain confidence, and find connections to other parents, health resources, and education resources. Many of our staff are former caregivers who participated in Lotus Bloom playgroups previously. Our diverse and dedicated staff members are thus able to connect with families using both their educational knowledge, on-the-job learning, and lived experiences.
